Key points
- Keep the job offer, permit and residence evidence as linked but distinct records.
- Record the authority, portal reference, status date, next action and owner for each step.
- Confirm emirate, employer and worker route instructions with MoHRE, ICP or GDRFA.
A UAE placement record can involve both work authorisation and residence steps. An agency needs to see which item is current, what the authority last returned and who will follow up next. The right service can depend on the employer, worker route and emirate, so use current government instructions for each case. This guide is for operational recordkeeping and is not legal advice.
Consult the UAE Government portal, MoHRE and the Federal Authority for Identity, Citizenship, Customs and Port Security (ICP) for the authority guidance that applies to the case. For Dubai residence services, the General Directorate of Residency and Foreigners Affairs (GDRFA Dubai) lists renewal channels. These portals are authorities for their own processes, not interchangeable status pages.
Connect the job offer to each official step
Keep the demand, candidate and signed offer or contract reference connected to the worker's placement. Then make separate entries for work permit, entry or residence processing, medical or identity steps when the authority requires them, and any amendment or renewal. Attach the current document or receipt to the entry it supports.
For each record, note the responsible authority, portal or service channel, application reference, submission date, status and last-checked date. Add a named owner, next action and follow-up date. When one authority returns a request for more information, record the request and the response as dated events so the team can see what changed.
Keep residence and work permit dates separate
ICP lists residence services linked with Emirates ID applications, while GDRFA Dubai publishes renewal channels for Dubai cases. Keep each document's number, issue date, expiry date and issuing authority on its own record. Do not use one permit date to stand in for another document's validity.
Where a worker is outside Dubai, or the employer falls under a different authority, check the applicable portal before setting the team's next date. Record the official source and the date you checked it. Leave exact requirements, fees and deadlines to the current official service page because they can vary by route and change over time.
Make the handover easy to follow
When the worker starts with the employer, carry the current offer, permit and residence documents into the worker and employment records, along with relevant clearances and any open actions. The worker record handover guide explains how to preserve that trail. Use the permit expiry routine to assign an owner and plan a review from the expiry date shown on the document.
Where Worker Vault fits
Worker Vault tracks placement stages, dates and warnings, then carries documents and compliance records into the worker record at deployment. People check the relevant government service and record what it returns. Learn more on the UAE country page and the worker records solution.
