Recruitment pipeline

See where every placement stands

Track each placement from employer demand to deployment, with the stage, the dates, and the warnings in view.

Two colleagues review a placement together on a laptop at a meeting table.

From demand to deployment

Follow one placement across the board, from employer demand to deployment. Counts update in every column, and a placement that runs over its expected days is flagged so you can see where to step in.

Configurable stages and days

Stages are configurable. Reorder, add or remove them, and set days for each.

Deadlines that start on arrival

When a Special Pass is recorded, Worker Vault starts arrival-report and FOMEMA medical exposure on the placement and records the dates you enter.

Deployment starts the worker record

When a placement is deployed, Worker Vault creates the worker and employment record and carries forward the documents, compliance records, recruitment costs, and passport custody.

Twenty configurable stages, then post-arrival clearances

The stage timeline records dates and actors. Statutory stages stay marked.

After deployment, the post-arrival checklist tracks six recorded items. Worker Vault records what you enter and flags what needs attention.

  • Statutory clock starts when the Special Pass date is recorded.
  • Source-country clearances recorded as tracking examples (BMET, Nepal labour approval, Indonesia one-channel).
  • Transit accommodation and recruitment cost registers beside the placement.

Recruitment questions

Recording a stage shows progress. It does not obtain a government approval, and a completed stage is not a compliance verdict. Pipeline warnings stay on pipeline views. The Work Queue covers compliance, expiry, upcoming actions, and evidence review.

Does Worker Vault submit anything to Immigration or other authorities?

Worker Vault records the dates and results you enter and flags deadlines. Filing and approvals stay with your agency and the authorities. If you want help fitting a specific step into your workflow, tell us on a demo.

Can we change the stages?

Yes. The stage list is versioned and configurable: reorder, add, remove, and set duration days.

Which source countries are covered?

Corridor clearances for Bangladesh, Nepal and Indonesia appear as worked examples in the Malaysia setup, and the list is not a limit. Tell us the source countries you recruit from and we will set them up for your workspace.

Can partner agencies log in?

Today, source-country agents are reference records in your workspace. If you would like to work with partner agencies in Worker Vault, tell us how and we will look at how to fit it.
