See missing evidence and requirements needing attention
Worker Vault compares the rules configured for your workspace with each worker's recorded facts and reviewed evidence. It explains the result and gives your team a list of what to do next.
Rules on one side, facts and evidence on the other
Each worker is assessed by category: identity and travel, work authorisation, medical fitness, insurance and social protection, fees, wages and contributions, and employment conditions and accommodation. Only approved documents count toward a rule.

Three results, each with a reason
Compliant
Every configured requirement that applies is satisfied by the recorded evidence.
Non-compliant
At least one requirement is known to be unsatisfied.
Incomplete
Required information is missing, so a result cannot be determined yet.
If any requirement is unsatisfied, the worker is Non-compliant. Otherwise, if any is incomplete, the worker is Incomplete. Otherwise, the worker is Compliant. Overview counts link into the Work Queue.
These are operational assessments against configured rules and recorded evidence. They are not a legal verdict.
Compliant

Non-compliant
At least one requirement is known to be unsatisfied.
Incomplete

An approaching expiry is a warning, not a result
While a record is still valid, an approaching expiry shows as an Expiry warning. It does not turn a Compliant worker into a Non-compliant one. Set the action and warning lead times for each compliance category in Settings.

The Work Queue says why, and where to fix it
Every item in the Work Queue shows its reason. Filter by reason or compliance category, then use the row's action to go to the source.
Unsatisfied requirement
A requirement is known to be unmet.
Incomplete requirement
Information needed to decide is missing.
Upcoming action
An action is coming due.
Expiry warning
A record is approaching its expiry.
Document awaiting review
An uploaded document needs a reviewer.
Fix the source and Worker Vault recalculates. The item leaves the queue when the underlying condition is resolved. Nobody marks items done by hand.
Pipeline deadline warnings show in the pipeline views, not in the Work Queue.

Tracking, not certifying
Worker Vault records, tracks, and flags. Tracking an expiry does not renew a permit. An assessment does not certify legal status or guarantee compliance. Coverage is focused on Peninsular Malaysia, ordinary VP(TE) and PLKS work permits, across every sector. Other regions, pass types and countries are added through rule packs on inquiry.
Does Worker Vault renew permits or book medical examinations?+
No. It records the facts and dates you enter and flags what is due, including approaching permit and FOMEMA medical dates. Renewals and bookings happen outside Worker Vault.
Can Worker Vault tell us a worker is legally compliant?+
No. It shows an operational assessment against configured rules and recorded evidence. It is not legal advice or certification.
Do we get a reminder for every expiring document?+
Not per item. The Work Queue lists them, and a scheduled digest email summarises urgent items.
Which workers and regions are covered?+
In the Malaysia setup, coverage is Peninsular Malaysia, ordinary VP(TE) and PLKS permits, across every sector. Other regions, such as Sabah and Sarawak, and other pass types are added through rule packs. Working somewhere else or with a different permit? Send us an inquiry and we will set up your workspace for your country.
A routine for recruitment agencies to record each cost in a placement, who paid it and when, with evidence attached, so questions about recruitment fees can be answered from a record.
How an agency can track permit, passport and medical expiry across many workers: one date per field, lead times per document type, an owner for every item and a weekly review.
A short clean-up routine for an existing worker roster before it goes into a system: one row per worker, dates as dates, consistent names and a plan for missing facts.
