This notice explains how Worker Vault ("we", "us") handles personal data collected through the Worker Vault website. You can reach us at [email protected].

This notice covers the website only. The Worker Vault product is separate. Data that agencies and their employer clients keep in the product is governed by the customer agreement, not by this notice. The website has no accounts or payments.

• Details you send in the formYour full name, work email, agency name, and country. Your phone number, role, and message, if you choose to add them.
• Basic technical dataInformation your browser sends when you visit, such as IP address, browser type, device type, pages visited, and the time of the visit. Our hosting and security tools may record it in server logs.

We do not ask for passport numbers, worker documents, or other worker data through the website. Please do not include them in your message.

We use the details you send to reply to your inquiry, to follow up and agree a demo time, and to run and secure the website. We use technical data to keep the website working and safe.

Under Malaysia's Personal Data Protection Act 2010, as amended, we process your personal data with your consent, which you give when you send the form, and where needed for these purposes. You can withdraw consent at any time (see "Your rights"). If you do, we may not be able to follow up on your inquiry. This notice describes how we handle personal data. It does not claim that we meet every requirement of any law.

We do not sell your personal data. We do not use it for automated decisions about you.

Each inquiry is delivered to the Worker Vault team by email. We use service providers to run the website and deliver inquiries, including an email service and our hosting provider. They process data for us and only for these purposes.

Some providers may store or process data outside Malaysia. Where that happens, we take reasonable steps to make sure the data stays protected. We may also disclose personal data where the law requires it, or to protect our rights.

We keep inquiry details for 12 months, then delete or anonymise them, unless the law requires us to keep them longer.

We take reasonable measures to protect personal data against loss, misuse, and unauthorised access. No website or transmission over the internet is completely secure, so we cannot promise absolute security.

We use privacy-oriented analytics from PostHog (United States) to measure visits, which Book a Demo buttons are used, and whether the demo form is completed or fails. PostHog uses in-memory storage only and does not set a cookie for this. Google Analytics loads only after you choose in the cookie banner. Until you choose, analytics and advertising storage stay off. Accept all, Reject all, and Manage are equally available. Manage lets you allow analytics, advertising, or neither. We remember that choice in a cookie that is needed to honour it. We do not send names, email addresses, phone numbers, company names, or message text to PostHog or Google Analytics. A completed demo inquiry can record that the form succeeded, the language of the page, and the page address, including campaign parameters from the page you first opened. We may use session storage for one short-lived flag so the form page can tell a demo-button visit from a direct visit, and to carry those campaign parameters to the form. That storage holds no personal data. The website may still use strictly necessary technical storage to work.

You may ask us for access to the personal data we hold about you, ask us to correct it, and withdraw your consent to our use of it.

To use a right, write to [email protected]. We may need to confirm who you are first. We will respond within the time the law allows. Where the law allows us to refuse or limit a request, we will tell you why.

The website is for businesses. It is not meant for children, and we do not knowingly collect their personal data.

We may update this notice. The effective date at the top shows the latest version. If a change is significant, we will say so on this page.
