Key points
- Keep each worker's identity, travel, contract and permit evidence connected to the placement.
- Record the authority, portal reference, status date, next action and owner for every step.
- Use Thailand's Department of Employment and Immigration Bureau as the source for current instructions.
When a worker is deployed to or from Thailand, an agency may be coordinating records across more than one country and authority. The useful question for the team is simple: what was submitted, where can its status be checked, and who owns the next step?
This guide is intentionally narrow and is not legal advice. Thailand's Department of Employment (DOE) lists different work permit application and renewal routes in its e-WorkPermit portal. The Ministry of Labour describes online applications and status tracking in its e-WorkPermit announcement. For immigration matters, check the Immigration Bureau for current instructions. Confirm the steps for the worker's circumstances with the relevant authority before acting.
Start with one placement record
Connect the worker's identity and travel documents to the employer demand, candidate application and placement. Keep the passport details needed to identify the file, a copy or reference for the relevant contract, and the country and direction of travel. Keep the document version and the date someone checked it, so an older scan is not mistaken for the current record.
For each step, record the issuing authority, official portal, application or receipt reference, submission date, current status and the date checked. Add the next action, its owner and a follow-up date. These are agency recordkeeping fields, not a substitute for an authority's checklist.
Separate work authorisation from immigration status
The DOE portal lists work permit applications, renewals and amendments, and provides e-Tracking. The Immigration Bureau handles stay and immigration processes. Keep those as separate items in the placement record. A work permit status does not tell the team the status of a visa or stay request.
For a Thailand-bound placement, record what the source and destination authorities actually require for that route, then keep each item as its own dated step. For a Thailand-origin placement, use the destination authority for the destination-side permit and entry process, and record any source-country release or departure evidence only after confirming the applicable requirement.
Avoid copying an old route checklist to a new case. The DOE portal separates work permit routes, including different application and renewal categories. Check the relevant government source for the route in front of you.
Track changes and hand over the file
When the authority returns a receipt, query or decision, save the document or reference and update the status with the date received. If the record is incomplete or awaiting review, state exactly what is missing and who will follow up. When a placement moves to deployment, carry the current documents, completed clearances and outstanding actions into the worker and employment records. The worker record handover guide covers that transition.
For expiry dates, record the date shown on each current document and set an internal reminder from the official renewal guidance. The general permit expiry tracking routine explains how to assign owners and review upcoming dates without assuming one country's window applies to another.
Where Worker Vault fits
Worker Vault lets an agency track placement stages, dates and warnings, then carry documents and compliance records into a worker record at deployment. The team still checks the official portal and enters the result. The Thailand country page describes the product's reference scope, and worker records explains how evidence stays with the worker.
The same recordkeeping discipline applies across different routes. Compare this guide with Saudi Arabia and the UAE, then Book a Demo to see how Worker Vault tracks a placement through handover.
